How to write a chargeback response

A strong reply follows the same order for every dispute reason, with one record for each point.

Many replies that lose had the evidence to win. The merchant knows what happened and has the documents, but writes three paragraphs of explanation. The customer's bank reads it once, finds no answer to the question on its review form, and rules against the merchant.

A strong reply for any dispute reason (the code on your notice) follows the same order. It opens by naming the dispute type (Visa 13.1, Mastercard 4853, Amex C08) and the rule edition. It then lays out evidence in the order the bank's form asks for it, answers the customer's likeliest claim with a specific record, and asks for reversal under the cited rule.

Keeping this order and changing only the evidence and the dispute reason gives experts substantially higher win rates than writing each reply fresh. Banks read every reply in a hurry with a form to fill in.

The evidence changes with the dispute reason, and the bank only credits evidence that answers it. For an order the customer says never arrived, the carrier's record of delivery to the address on the order does the work. Fraud claims need the checks that tie the payment to the customer: the address and security-code match, 3-D Secure if it ran, and earlier orders from the same customer that were never disputed. If the customer says they cancelled a subscription, the reply turns on the terms they accepted at signup and on what happened after the date they give.

Opinions about the customer and long email threads with the relevant line buried in them give the reviewer more to read and nothing to tick. Label each document with the point it proves, and put the line that matters at the top of the page.

You get one attempt at this stage, so the file has to be right before it goes. Stripe's dashboard says you have only one opportunity to submit, and it caps evidence at 4.5 MB in total and 19 pages for Mastercard disputes. Shopify Payments allows 2 MB per file and 4 MB overall. A reply that cannot be uploaded within these limits is not filed, so compress scans and drop pages that prove nothing. The deadline that binds you is the one on your processor's notice, which is usually earlier than the card network's.

Writing this response is the work representments.com does. Forward the chargeback email and within 48 hours you receive it as an editable Word document, written for that dispute reason and that bank, with marked places for your own records. You file it through your own processor, and your first response is free.
